What is stored
LotTrail stores your sign-in identifier and email, profile, dealership assignment, saved vehicles, listing records, saved draft text and photo order, customer requirements, optional private recaps, follow-through notes, correction reports, activity records, follow-up tasks, support requests, and shared comparison snapshots in its hosted database. Approved dealership inventory is stored to support searches and change checks.
Who can access it
The platform owner manages accounts, dealership connections, support requests, and administrative activity. Salespeople can access their assigned dealership’s inventory and their own saved work. An owner can administer stored data for support and maintenance. A customer comparison is accessible to anyone holding its link until it expires or is revoked.
Sign-in and connected services
Public account creation is not open yet. Members with active workspace assignments can sign in with a verified identity. LotTrail checks workspace access on the server. Public showcases do not require an account. Existing workspace records remain stored; pausing access does not delete them. The hosted workspace does not currently connect to a dealership CRM, a payment provider, an email sender or a hosted AI provider. The browser companion can prepare Facebook drafts or act on an explicitly approved reviewed publication request. Missing details and uncertain outcomes pause the request for review. When you request draft preparation or approve reviewed publication, the listing introduction, selected photos and public salesperson details are passed to the paired Trail Buddy; private customer notes and payment inputs are excluded.
Sharing and retention
Customer links expire after your selected period of 1, 7 or 30 days and can be revoked earlier. Your profile contact details and selected vehicle information are included when you create a link. Public pages use an explicit field allowlist and exclude private recaps, delivery notes and workflow state. Activity records describe actions such as copying or preparing; they do not prove a message was sent or a customer viewed it. Expired snapshots remain stored for support until removed by the operator. Account and workspace records remain stored while needed for the service; request deletion by contacting LotTrail.
Device storage
The connected workspace keeps some unsaved session and draft edits in this tab’s session storage. It also keeps scoped selected cars, listing review intent and pending request data in browser local storage so interrupted preparation can resume. Local storage can remain after a tab closes. Use your own browser profile on shared computers and clear LotTrail site data when you need to remove local copies. Private uploaded listing photos are held by the service for preparation and review; saved customer and listing history remains in the hosted workspace until removed under its retention process. The desktop extension stores its separate profile and history in your Chrome profile. Exporting an extension backup does not create a website backup, and uninstalling an extension may remove its local data.
Appropriate use
Only connect inventory and use photos that you are authorized to access and reuse. Keep sensitive customer information in your approved CRM. Review specifications, availability, pricing, finance illustrations, and generated wording before sending or publishing. LotTrail does not establish lender approval, verify vehicle condition, or guarantee a platform’s acceptance of a listing.
